Terms of Service
Last updated: 14 September 2026
These Terms govern your use of Kulnabooks — the point of sale, back office and related services at kulnabooks.com and in the Kulnabooks applications (together, the Service). The Service is operated by Kulnabooks (we, us). By creating an account or using the Service you agree to these Terms on behalf of yourself and the business you register (you). If you do not agree, do not use the Service.
1. Your account and workspace
- You need an account to use the Service. Give us accurate information and keep it up to date.
- Your business is set up as a workspace. The person who creates it, and anyone they give the right to manage settings, may invite users, assign roles and branches, approve tills and manage the subscription. You are responsible for who you give access to and for everything done under your workspace's accounts.
- Keep passwords and cashier PINs secret. Tell us straight away at support@kulnabooks.com if you believe an account or a till has been compromised. You can sign out other sessions, disable a user and remove a till from within the Service.
- You must be legally able to enter into a contract, and to do so for the business you register.
2. The Service
- We provide the Service as it is at the time, and we improve and change it over time. We will not remove a core function you rely on (selling, stock, purchasing, invoicing, accounting, reports) without reasonable notice.
- Offline selling. The till keeps selling without an internet connection and sends sales when the connection returns. Sales made offline reach your records only once the till reconnects. Refunds and coupon codes need a connection. You are responsible for reconnecting tills and for reviewing any sale the Service reports as refused.
- Your hardware and connection. Computers, tablets, printers, cash drawers, scanners and internet access are yours to provide. We do not sell or support hardware.
- Your records and your obligations. The Service helps you keep records, calculate tax and issue receipts and invoices. It does not replace your own legal, tax or accounting advice. You are responsible for the prices, tax rates and settings you enter, for checking the figures the Service produces, and for meeting the obligations that apply to your business.
- Availability. We aim to keep the Service available, but do not promise it will be uninterrupted or error-free. We may carry out maintenance, and we try to do it at quiet times.
3. Plans, prices and payment
- Plans differ in the number of branches, users and tills they allow, and in the level of support. Current plans and prices are shown at kulnabooks.com/pricing, in SDG.
- Billing periods are monthly, six-monthly or annual.
- How you pay. A subscription term starts when we issue an invoice for it. You pay that invoice by bank transfer or in cash, as the invoice says. The price on an issued invoice is fixed for that term. Nothing is charged until we issue an invoice to you.
- Price changes apply from your next term, never to a term already invoiced. We will tell you before a new price applies to you.
- Promotions apply as described when they are offered (for example, a discounted first year). When a promotion ends, the standard price applies from the next term.
- Changing plans is done by us at your request, from your next term.
- Taxes. Where a tax applies to your subscription, the invoice shows it.
4. Late payment, suspension and cancellation
- If an invoice is not paid within 14 days of its due date, we may suspend your workspace after telling you at least 7 days before. While suspended, no one in your workspace can sign in. Your data is kept, and access returns when the invoice is paid.
- You may cancel at any time from Settings → Subscription. Cancelling stops renewal; your access continues until the end of the period you have paid for, and you can undo the cancellation before then. Refunds are covered by the Refund & Cancellation Policy.
- We may suspend or end your access, with notice where the law and circumstances allow, if you seriously or repeatedly breach these Terms, use the Service unlawfully, or put the Service or other customers at risk.
- After your workspace ends, your data is handled as described in the Privacy Policy, including how to ask for a copy or for deletion.
5. Acceptable use
You must not: use the Service for anything unlawful or fraudulent; try to access another workspace's data or bypass permissions, till approval or plan limits; test, probe or overload the Service without our written permission; copy, resell or build a competing service from the Service; or upload content you have no right to use.
6. Your data
- You own your business data — products, stock, sales, purchases, customers, suppliers, accounts and the rest (Your Data). You give us permission to store, process and display Your Data only to provide, secure and support the Service for you.
- When you enter information about your own customers, suppliers or staff, you are responsible for having the right to do so and for telling them as the law requires. We handle that information on your behalf, as described in the Privacy Policy.
- Receipts and invoices you issue carry a QR code, and some carry a link, that lets anyone who has it view that document's details. Do not hand them to people who should not see those details.
- Support access. Our operators can view your workspace's settings and activity to run and support the Service. Any read-only "view as workspace" access is limited in time, needs a recorded reason, and appears in your workspace's audit log.
7. Our intellectual property
The Service, its software, design and content belong to us or our licensors. These Terms give you a right to use the Service during your subscription; they do not transfer ownership of anything to you. Feedback you send us may be used to improve the Service without obligation to you.
8. Liability
- Nothing in these Terms limits liability that cannot be limited by law.
- Subject to that, we are not liable for indirect or consequential loss, lost profits, lost revenue or lost data that proper use of the Service's records, exports and backups would have prevented.
- Subject to that, our total liability for any claim relating to the Service is limited to the amount you paid us for the Service in the 12 months before the claim arose.
- You are responsible for losses caused by your breach of these Terms or your unlawful use of the Service.
9. Changes to these Terms
We may update these Terms. We will show the date of the latest version at the top and tell you of material changes in the Service or by email before they take effect. If you continue using the Service after that date, the new Terms apply; if you do not agree, you can cancel as described in section 4.
10. Law and disputes
These Terms are governed by the laws of the Republic of the Sudan. We will first try to resolve any dispute with you in good faith. If that fails, the competent courts of the Republic of the Sudan have jurisdiction.
These Terms are published in Arabic and English. If the two differ, the Arabic version prevails.
